This privacy notice outlines how we collect, use, and protect the information of individuals who visit our website, who register to attend our events, or get in touch with us by any mean (e.g. event, meeting...).
Who we are
We are Ascentry (formerly known as BYG4lab and Finbiosoft).
Our company is BYG4lab Group SAS, registered in France under number 915 233 837 (SIREN), and it subsidiaries BYG Informatique SAS, Finbiosoft Oy, and BYG4lab Inc. For contact details, see the "Contact us" section below.
Data we collect
On our website:
- Anonymous audience measurement to improve our website;
- General geographic location (e.g. country or city; based on IP address);
- Cookies (identifier stored on your device to remember you): used to retain your language preferences on our website, as well as for audience measurement; our cookies are not linked to your identity, even when you identify yourself through the contact form;
- Data you send to us over the contact form (name, email, phone, company, text of your request...);
- In addition, the following technical information is made available to us when you visit our website, although we do not store it or keep it:
- IP address;
- Device type and operating system used.
In our communication and interaction with you, we use the following data:
- Personal Identification Information: name, professional email address, professional phone number, professional address, company name, general geographic location (e.g. country or city location), preferred language, profile pictures (events only, and only if you provide one);
- Job applications: Curriculum Vitae / Resume, cover letter, qualifications, professional experience;
- Other information you provide to us: freetext of the contact form on our website, emails you address to us, as well as the history of our communications (as part of our Sales and our Customer Relationship processes, or our HR processes for job applications).
How we use your data (purposes)
We use your data to:
- Answer you when you contact us, or communicate with you in general (contact form on our website, or other requests in events, meetings, job applications, etc.);
- Deliver newsletters, product suggestions, service updates, news about us;
- Provide targeted marketing, advertising, promotional offers;
- Process your job applications;
- Offer you job opportunities;
- Conduct market analysis (only anounymous data is used);
- Analyze website usage to improve user experience (only anounymous data is used).
The data and processing is managed by our Sales and our Marketing & Communication teams; except for job applications which is managed by our HR team.
We do not proceed to any automated decision-making or profiling based on your data.
Data retention
We keep your data for 2 years after your last communication to us (except if you require erasure of your data before that - see the "Contact us" section below).
After that, the personal data will be effectively deleted or made strictly anonymous.
If you also are one of our customers (or become one in the meantime), we will also interact with you for that purpose. This is governed by the personal data privacy chapter of the contract you have with us as our customer.
Sharing your data
Our company is located in France, in Finland, and in the United States.
Personal data of European Union data subjects may be accessible by our United States subsidiary (this would be under the Trans-Atlantic Data Privacy Framework), and the other way around.
We give access to your data to some third-party providers acting on our behalf (they are data processors in the meaning of GDPR). They include: email and office tools provider, emailing provider, webinar platform provider, CRM (Customer Relationship Management) tool provider, and - for job applications - our Human Resource management solution. They are bound by contractual clauses and use the data only for assisting us in the purposes stated in this notice. They host the data either in the European Union, or in the United States under the Trans-Atlantic Data Privacy Framework. They do not use the data for their own purposes.
Legal basis for processing
We process your data for the purposes of our legitimate interests, listed above in the section "How we use your data (purposes)".
We collect your data from:
- In most situations, only the data you provide to us on our website or in your communication with us, or which is publicly available on your professional social network profiles;
- For hiring, we also use public information available on your professional social network profile to get in touch with you, and we also contract with dedicated hiring companies for that purpose;
- Outside of the European Union, we also rely on organisation/professional databases to get contact information for marketing.
When we send newsletters or similar multi-recipient emailing, we always include an “unsubscribe” link that you can use to automatically stop us from sending such email to you.
Your rights
You have the following rights under the GDPR:
- Information: This is the purpose of this privacy notice, and you can request additional information.
- Access: You can request access to your personal data.
- Rectification: You can request corrections to inaccurate or incomplete data.
- Objection: You can object to specific processing activities in case they override your interests, rights and freedoms.
- Restriction: You can request restrictions on processing, in cases where data is inacurrate and until correction, or while an objection request is being processed, or when the processing or a part of it is illegitimate or suspected to be, or when the processing is no longer needed but you want the data be kept for legal claims.
- Erasure: You can request deletion of your data when it is no longer needed, or if the processing is deemed unlawful, illegitimate, or with no legal ground.

Should you wish to file a complaint, you can contact the data privacy authority in your Country or State. To that extent, in Europe and under the GDPR, our reference authority is the CNIL (Commission nationale de l'informatique et des libertés, the French autority for data privacy, http://www.cnil.fr).
